        What does transcription mean?

        In its simplest terms, transcribing means writing out speech and reproducing it with words according to some more or less fixed conventions.

        How long does transcription take?

        Transcription is a complex and often cumbersome process, and there are several factors that affect how long a transcription will take. Many of our freelance linguists and project managers have years of transcription experience. Whereas transcribing an interview used to be a rather tedious manual process, today our linguists can save time with the help of intelligent transcription software that automatically generates a rough draft of the transcript. Our linguists then post-edit the transcript and make decisions about what to add and what to omit.

        Full verbatim or clean verbatim transcription?

        Spoken language is fundamentally different from written language and is often filled with small errors, repetitions, self-corrections and pronunciation mistakes – it’s tempting to consider the many ways that the same thing could have been said more accurately with different or fewer words. But that's not what transcription is all about.

        If you interpret what is said and rewrite it, you exceed your mandate as a transcriber. A transcription should simply decode what is being said, so that readers are not confused. That’s why our linguists are very loyal to the original audio, although of course we’ll make adjustments or corrections when something is completely unnecessary or unmistakably incorrect. Mumbling, dialects, accents, background noise and poor audio quality can all sow doubt about what is being said. So it’s essential to have a set of sharp and experienced ears to decipher the numerous sounds and convert them to text.

        If we are still unsure of what is being said, we don’t shy away from asking for help or supplying several possible versions of what we may be hearing – together we can choose the correct transcription.

        Spoken language phenomena such as filler words and hesitations (“ums and ahs”), errors, repetitions and other potentially distracting elements can muddle the meaning and interfere with the reading experience.         A “full verbatim” transcription, meaning that the speech is reproduced word for word, includes transcription of the accompanying small spoken language phenomena (e.g. pauses for thought, hesitation), as these can have a strong influence on how a statement can be interpreted.

            Tips for transcription, should you decide to take on the task yourself

            Tame your inner keyboard warrior and listen to the whole recording before you start transcribing. This will give you a better overview and help you "tune in" to the topic.

            Play one sentence at a time and avoid transcribing while playing the recording. This gives you a chance to mull over hard-to-understand passages or homophones (e.g. there/their/they’re, where/wear/ware).

            Use a foot pedal so you can pause, play and rewind the file with your feet while both hands are free to transcribe.

            Read through your entire transcript and always have an extra set of eyes and ears available to read and edit your transcript.
